1. Agree on the reference
X-Rite explains that a production trial is compared with a standard, and that customer and supplier should agree acceptable colour limits. Identify the approved reference with a sample code and revision. Ask who holds it, how a replacement is approved and which revision applies to the order. Read X-Rite's guidance.
Before requesting a production sample, send a short brief: product family, colour reference, intended surface, finish and order reference. Keep these fields together so an attractive sample cannot accidentally be approved for the wrong specification.
2. Write down the comparison method
BYK describes colour and gloss specifications, recorded batch corrections and evaluation under different illuminants. Ask the supplier to identify the agreed method and viewing conditions, rather than sending a bare pass/fail statement. Read BYK's laboratory guidance.
For your approval sheet, include a space for sample preparation, comparison date, method, result and reviewer. If numerical data are supplied, ask what the reported value means and which agreed acceptance limit was used. Leave unagreed limits blank until both parties resolve them.

3. Connect approval to the shipped batch
Request a sample identifier alongside the production lot reference. Record the decision as approved, pending or rejected, with the reason and date. If a sample is corrected, require a new revision and an explicit decision; do not let an old approval silently cover a changed sample.
Keep the approval sheet with the purchase order and shipment documents. An internal review should answer three questions: which reference was used, which sample was reviewed, and which batch is being released?
